Description
RESPONSIBILITIES:
Supervise the keeping of controlling records using double entry and accounting practices
as prescribed in the Account Manual for Public School District in the State of Washington.
Development and implement internal auditing programs and controls.
Supervise financial matters, accounting activity, budget and office management.
Supervise and maintain general ledgers for district funds including: General Fund,
Transportation Vehicle Fund, Debt Service Fund, Capital Projects Fund and Associated
Student Body Fund.
Supervise Grant Management to insure proper coding and recording of revenue and
expenditures. Monitor expenditures to avoid cost in excess of grant award less indirect
allowances.
Calculate and enter monthly federal grant reimbursements
Supervise and participate in development of year-end financial statement and filing of F196.
Supervise and participate in preparation of school district budgets for all funds and filing
of F-195.
calculate the special education excess cost.
calculate the vocational expenditures and revenues.
calculate of levy utilization spreadsheet.
Assist calculating the staffing projection FTE for the S-275 as it relates to the budget.
Assist Human Resources in tracking staffing changes throughout the school year against
the budget.
Prepare schedule of financial assistance and notes to the financial statements.
Maintain an inventory of authorized imprest checking and petty cash accounts at all
locations.
Supervise the audit of reconciliation of transmittal accounts and bank statements for
General Funds, ASB Fund, and Child Nutrition.
Supervise filing of district damage and theft reports; coordinate claims with district
insurance carrier and Educational Service District Insurance Co-op.
Supervise district record retention policy.
Meet with building principals and department/program directors to review budgets and
determine necessary adjustments.
Provide training and assistance to secretaries to insure compliance with accounting
requirements.
Supervise Lead Accountant, Accounts Payable, Purchasing and Payroll
Supervise the calculation and preparation of monthly investments for all funds.
Supervise the reconciliation of district financial activity and general ledger and Yakima
County Treasurers monthly statement for all funds.
Supervise the preparation of the district budget status report on a monthly basis for
school board members.
Supervise the preparation of journal entries for financial transactions originating with the
county treasurer, banking institutions and district building/department transfers.
Coordinates batching of monthly financial report sets.
Supervise and review the monthly budget/financial reports for use by departments.
Review monthly payroll for proper coding and review adjustments with the payroll
department.

Review account codes and makes adjustments, if necessary, before final posting. Review
any adjustments with the payroll department.
Coordinate annual secretarial workshop.
Develop and implement the on-line fiscal handbook
Serve as liaison between West Valley School District and Educational Service District #105
for data processing.
Continue education of accounting practices. i.e., WASBO Conferences, Certification
Program, etc.
Assume other duties as directed
ESSENTIAL JOB FUNCTIONS:
Must be able to sit for long periods of time
Ability to lift at least 20 pounds occasionally (one time a day)
Requirements
MINIMUM QUALIFICATIONS:
Bachelor’s Degree in Business or Accounting preferred and two years of training in
double entry accounting
A minimum of two years business office/accounting experience in a school district.
Possess a working knowledge of Accounting Manual for Public School District in the State
of Washington.
Must have personal integrity, be able to work with others, be harmonious in relationship
with co-workers, and be flexible and open to new ideas and change.
